This is a reminder to keep the State Enrollment Census up-to-date before we extract the enrollment and student demographics for the upcoming NECAP Science assessment. The data will be extracted on Wednesday, March 10th, 2010. Any unresolved duplicate records will be purged in our final extract on Thursday, March 11th, 2010. Many of such out-dated records are currently showing in your duplicates page. Run a snapshot report using 3/1/2010 as your snapshot date and you will see the listing of students being extracted for the Science assessment with grades 4, 8 and 11 included for each school and the whole district. If you have not submitted any updates to the enrollment census in the last 30 days, chances are that we will miss a lot of students in your district for this important state assessment. Many of the student demographic and program information may be out of date. We continue to ask you to keep the census up-to-date towards the end of each month, including resolution of any duplicates and demographic errors. Here is a checklist of questions to ask which will assist in this process: 1-Have you added the recently enrolled students since the last submissions? 2-Have you exited students that have left your district since the last submissions 3-Have you resolved the remaining duplicates? 4-Have you reviewed the demographic difference records where students' name, DOB and gender are different from the State's SASID system? 5-Have you reviewed students' program status and should they be in sync with the State's IEP, LEP census? 6-Have you reviewed the summary reports and are they consistent with historical trends? The snapshot date will be 3/1/2010; students in grade 4, 8 and 11 will be extracted and shipped for test labeling and the subsequent AYP related analyses. Inconsistent and outdated student records will result in students test booklets and results being miscoded. Thank you for your time and efforts for keeping the Census up to date and clean.
